The tasks in running contests are many and varied. Pre-contest work includes liaison with the Convention Team, sending out contest entry forms, visiting the venue to allocate warm-up and dressing rooms and work out the routes; preparation and mailing of briefings for choruses, quartets, MCs, judges, couriers; producing competition timetables; entering data into a data base; corresponding with all relevant personnel and producing judging forms. At the contest, it is the category's responsibility to place all the signage, run the computer program and produce the results, organise the presentation of awards and produce reports for various personnel and also the website. The Chairman of Judges, who has complete responsibility for the running of each contest, is a selected member of the Category. When time allows, the category also organises evaluation sessions and stage time. The Stage Manager also comes under our wing to ensure the competent running of each contest and the Chief Courier is a member of our team. The work involved in the planning stage enables the contests to run smoothly. The category uses a computer program written and licensed to LABBS by John Penketh which is a sophisticated piece of IT. It has been written specifically for LABBS in Visual Basic using Microsoft Access as the engine and is now also licensed to other barbershop organisations. The program, once set up with appropriate data, is used to produce the results followed by various reports which can then be transferred directly to the website. The program also produces a variety of statistical reports, some of which are used to monitor the progress of the trainees as part of the judge training programme. |
